Creating an effective mechanism for reporting concerns about modern slavery is critical for identifying and addressing potential abuses in the supply chain or workplace.
The mechanism should be accessible, confidential, and designed to protect the rights and safety of those who report concerns.
As part of your policy on modern slavery, consider setting up multiple channels for workers in any part of the supply chain to report concerns:
- Anonymous hotline: Set up a free phone line, available 24/7, where workers and stakeholders can report concerns anonymously.
- Online reporting platform: Create an online portal where individuals can submit concerns securely and anonymously. This platform should support multiple languages and be mobile-friendly, especially if your supply chain operates in different regions.
- Email and SMS options: Offer email or text message reporting options for individuals who prefer these methods. Ensure that these channels are monitored and that responses are prompt.
- Suggestion boxes: In locations where internet access is limited or where technology may not be widely used, physical suggestion or complaint boxes could be installed. These should be located in accessible and private areas to ensure anonymity.
Also signpost: Modern Slavery & Exploitation Helpline 08000 121 700; GLAA 0800 432 0804 (03000 718234 out of hours); Police 101 or 999 in an emergency.
For suspected tax fraud or avoidance in a labour chain (for example unpaid VAT/CIS), use HMRC’s ‘report tax fraud or avoidance’ channel.
For a reporting mechanism to be effective, you must take steps to ensure:
- It is accessible for all workers, considering language, culture or people with disabilities or learning difficulties.
- All workers and suppliers are trained and engage with your policy for reporting concerns.
- Confidentiality is respected and anyone reporting concerns is protected from retaliation.
- Reporting channels are monitored and concerns are responded to promptly.
Maintain a grievance and remediation workflow (triage, victim-safe response, and follow-up).
Make reporting visible and accessible (posters, inductions, multi-language materials) so workers actually know how to use it.
